Will the new Landlord Database need digital certificates?
Hello, Yesterday, I received an invitation to go online and try out the ‘dummy’ version of the new Landlord Database.
Already having a one Gov I.D it was easy enough to register as a landlord.
The problem came when I started trying to register my properties, in particular gas and electrical certificates.
I don’t hold most of them digitally and without that there was no way to upload them to the system.
So, my friends make sure all future certificates are digital!

Hello, what landlord information do they ask in the database?
Do they have clear instruction for co-owners? For example, if only one owner is the named landlord in the tenancy agreement, does the database require only the named landlord to register or both owners need to register?

If I ever get paper copies, I always upload them to the cloud, just in case my house ever burns down. I also email the tenants a copy, so they can’t say they didn’t get their paper copy!

Yes…They ask for email to send a link… So provided you use seperate emails that should work…
I did have an issue there as my co owner is no longer able to use his computer and there is no provision for Power of Attorney.

Correct as it stands…Unless they are held digitally there was no facility to input…
I did leave a strongly worded comment and phoned them

Hi Diz, thanks. So just to clarify, the database ask for CO- owner details even if they are not named in the tenancy agreement? And how did you resolve it in your case?
And in general, what info does the database collect? Landlord current addresses? DOB? Etc?

It also asks what rent you get!!! I uploaded my gas cert via scan pdf and it accepted it on my beta test so you should be OK

Hi, I really didn’t get that far with the co owner bit…But would suggest it definately needs to tie up with your tax returns….
Other than that it was just basically name, address and the 3 certificates , Gas, Electric and EPC

Update on the Landlord Property Database Pilot
As part of the pilot, landlords are required to register both themselves and their properties on the new digital property database.
Just to update everyone, I found the process straightforward.
First, you’ll create your Government Gateway ID (if you don’t already have one). Once logged in, you’ll create your personal account, which will generate your unique landlord identification number.
You can then register each property individually. Each property will be assigned its own Property ID, and under that record you’ll upload the relevant compliance documents.
The EPC doesn’t need to be uploaded manually, as it links directly to the national EPC register, which is really helpful. However, you will need to upload your EICR and Gas Safety Certificate.
If you only have paper copies, don’t worry. Simply use a document scanning app on your phone. I use Tiny Scanner, but there are plenty of free or low-cost alternatives available. Once scanned, you can upload the digital copies directly to the database.
One thing I did notice is that, if you currently store your documents in cloud services such as Dropbox, you’ll first need to download them onto your device before uploading them. At the moment, the system doesn’t allow direct uploads from cloud storage.
I’ve provided feedback suggesting that future versions allow direct uploads from services such as Dropbox or Google Drive, as that would make the process much quicker.
Overall, though, I found the system easy to use and had no real problems with it.
The only downside is that it can feel quite repetitive, particularly if you’re already familiar with uploading similar documents for selective licensing. Much of the information required is very similar to what many landlords will already have entered into their local authority licensing systems.
Also the service asks the rent amount.
I would suggest landlords use this time before full.launch to get their business in order. Ensure you are digital compliant before the launch date so you or your agent are ready to go.
