What documents should a Landlord expect from their Agent?

I’m at the start of my journey as a landlord. The property is full refurbished, have Gas certificate and EPC.documents

I have assigned a letting agent to fully management the property. The Agent has found a tenant and is ready to move in soon. What documents should I be expecting from the agent once the tenant have moved in, to confirm that the agent has done and provided the tenant with all the requirement document and so?

I have no doubt you will get a variety of answers to this question. I run a small letting agency and have the following process in place. Firstly how we manage information would be detailed within the terms of business that the landlord agrees to. Essentially, it depends on whether you as a landlord are registered with the Information Commissioners Office (ICO). All information held that may be transferred to the landlord or other third parties will have already been agreed with the tenant/guarantor. If a landlord is not ICO registered, we as agents for the landlord would be happy to show the landlord any information relating to the tenant, but we will not provide copies of this information for their use or storage. The reason for this is that we are the data controllers and we would not be happy to transfer this responsibility to a landlord who is not also committed to ICO data management principles. If the landlord is registered with ICO, we would be happy to provide any information relating to the tenants to the landlord for their safe keeping and use. As data controllers themselves the landlord will be responsible to ICO and the tenant/guarantor for compliance with ICO data management requirements. So assuming you are registered as data controllers with ICO and information is requested by you; I would provide you with a copies of all documents with tenant/guarantor personal data such as AST, Credit & Ref & Right-to-rent check results, check results, tenant photo ID, 3 months bank & pay statements, evidence of deposit protection, deposit prescribed information, deed of guarantor, criminal / fraud declarations. Depending on what you have agreed as the scope of work in the terms of business you may be provided with; inventory & condition, risk, legionella, fire, H&S, Gas Safe, Electrical Safety check results also confirmation of PAT.
